Do any of you use software to allow class participants sign up for group fit classes of limited size remotely?
We have a number of classes of limited size due to equipment limitations and at this time our front desk staff field calls from participants and write names on lists for these classes. This is often a problem as staff are very busy, there are numerous lists and frequently names are missing or written in for incorrect classes. I’ve seen some places use what I assume is software or internet-based systems that appear to allow participants to do this themselves remotely. Are you happy with the system you chose? Has it streamlined your process? If you use it, how do you handle participants who sign up and no-show for classes? Thanks!
We are using mind body which is a good system. It automatically charges if someone late cancels less than 24 hours before the class. I think this can be tweaked as I know another studio which uses it and they have a policy of letting you do once for 100% refund, second time for 50%, then you pay full. And I think another studio I know that uses it has a policy that you are only charged if there is on one on wait who then does not take the space. But not sure if those things are done by the administrator, or if the system can be tweaked.
Most people understand the 24 hour cancel charge. It is pretty reasonable.
Of course people can be added to class if they drop in and there is space, and they can pay for the class online as well, so theoretically check in is pretty simple (assuming you train well those who input the data)
The system also does tracking, storage of data, and so on.
