How to keep track of clients progress, workouts, notes from each work out, on a computer? In need of desperate help!!

I am trying to come up with a system to keep track of my clients progress, store notes about each session, and just better organization. I work on my own so i need something simple. What do you do to keep all the info in a clean accessible and usable form.

Hi Tommy. I keep a paper file on each client. This file is supported by an Excel spreadsheet that I keep (in the computer and in printed form) on EVERY client workout for that client. This allows me to track their progress and the programs that I have designed for them over time. All other paper forms (such as Health Assessment, PAR-Q etc.) also are kept in their paper file (which of course must be secured somewhere from public/unauthorized access.

I agree with LaRue. An Excel spreadsheet will do the trick. You don't necessarily have to create one if you don't know how to or have the time. There's free downloadable client progress forms available online nowadays. In addition, you will have to carry a clipboard containing sheets with every client's information to all your sessions which will allow you to effectively keep track of the basic data (load, intensity, rest time, etc).
As you gather information from client sessions, you transfer them to the Excel spreadsheet on your computer which allows you to have everything you need to know about progress tracking in one place.
Client progress tracking can be a very daunting and time consuming task so I totally understand how you feel. At any rate, I certainly hope this helps.

Excel is a good option. Otherwise, you could create an electronic folder for each client and include sub-folders that have enrollment paperwork, photos, emails, workouts, session tracking, etc. I transfer my session notes to my electronic files so I don't need to have all the paper laying around. This also lets me keep track of client progress to be sure I'm progressing them appropriately.

I keep all relevant client information on their health screen evaluation, and their workout card.
There are various formats for workout cards and you can find templates on line, and then make alteration as you see fit.
I have found that I do not need to log every workout. I log their present protocol, and date, and any adjustments I make to the plan. My card has ample space to add notes on BF, or waist circumference, weight etc. When I complete one card, or one program, which is usually every 2 months I start a fresh card. I fill the card in manually, and make changes manually. I print the card from my computer on heavy stock paper. I have a file cabinet at home where I keep the health screens and the programs, present and past.

I have created my own workout logs which I use for individual sessions. It also has room for notes. After each workout with a client, I record this individual workout on a 'summary' chart where I can see 24 sessions at a glance. I can see the exercises done and also the weights used, and this enables me to decide who to further progress.

I use a software program called Open Fitness I downloaded for free on Download.com. It keeps track of EVERY aspect of training and creates reports.

All good comments... and yes if you google search you may find many FREE templates. I think the best way is to keep it VERY simple( i.e. shorthand) if done by hand/paper. I use Excel so I can e-mail it easily if I choose to do so.

I look at their initial assessment every month and make modifications and notes about the past month, then make a new short term goal and stick with it for the month.

I just started using a SOAP Notes app on my iPad and iPhone to track my notes for each client each time I see them.
As Joanne suggestion, SOAP notes can help you organize and structure your thoughts -- I like doing my notes via the app since I have the phone right there. Also the app has little built-in stamps for phrases I frequently use. Pretty fun!
